Practical guide

Word-to-PDF is a final-mile publishing workflow. The value is consistency: once the document is ready, a PDF is easier to distribute as a stable copy while the editable Word source remains available for future changes.

Useful for

  • Sending resumes and applications
  • Sharing invoices, reports and proposals
  • Creating a stable copy of a completed document

Quick answers

Why convert Word to PDF?

PDF is commonly used when you want to share a finished document without relying on the recipient having the same editing setup.

Should I keep the Word file?

Yes. Keep the editable source when you expect future revisions.

Can the PDF be made smaller?

Yes. A compression step can be useful when the final PDF must fit a size limit.

Convert Word documents to PDF for consistent sharing

Convert a Word document to PDF when you need a stable version for sharing, printing, submitting or archiving. PDF preserves the intended document layout more consistently across devices than an editable source file.

Check the Word file first

Review page breaks, headings, tables, images, fonts, headers and footers before conversion. Fixing the source document is usually easier than correcting layout after export.

Use PDF for final delivery

PDF is a practical final format for applications, invoices, reports and documents that recipients should read rather than edit. Keep the original Word file separately when future editing is expected.

Compress only when needed

If the finished PDF is too large for an upload or email attachment, compress it after conversion and review important images and text before sending it.

About This Tool

To convert Word to PDF, add the .docx or .doc file, select Convert to PDF and download the result. Several files can go in one batch; failed files can be retried without losing finished ones, and the PDFs can be downloaded together as a ZIP. If Microsoft Word is installed, File → Save As → PDF in Word gives the most faithful copy. This converter is for phones, Chromebooks and computers without Word.

How the conversion works

Unlike most MAXScanner PDF tools, Word to PDF runs on a server: the document is sent to MAXScanner’s private document processor when you start the conversion, rendered with LibreOffice and returned as a PDF. Each file can be up to 50 MB. Anonymous visitors can convert 12 files per minute and signed-in users 30, and a file that takes longer than 150 seconds is stopped.

What we saw with real documents

DocumentResult
One-page quote letter in Calibri with a table, header and footer (.docx, 38 KB)1 page, 24 KB. Table borders, header and footer kept; Calibri replaced by Carlito
The same letter saved as .doc and as .rtfIdentical layout, 23–24 KB
Eight-page report with a photo on every page (.docx, 270 KB)8 pages, 274 KB
Invitation set in Brush Script MT (.docx, 37 KB)1 page, 9 KB, but the script font became a plain sans-serif

Tested on 18 October 2026 with LibreOffice 24.2, the engine behind the converter. Each file took 1 to 2 seconds once the engine was running.

Fonts are the main thing that changes

LibreOffice cannot use Microsoft’s fonts, so it swaps in look-alikes. Calibri becomes Carlito and Cambria becomes Caladea; these have the same letter widths, so line and page breaks stay where they were. A decorative or brand font with no equivalent is replaced by an ordinary font, which can change how many lines fit on a page. If the look matters, export from Word with fonts embedded, or check every page of the PDF before you send it.

Check before you submit

  • Page count and the last line on each page.
  • Tables that span pages, and text boxes or shapes placed next to text.
  • Tracked changes and comments: accept or remove them in Word first if they must not appear.
  • File size: if a portal has a limit, continue to Compress PDF from the result.

How to Use

  1. Add Word files

Choose .docx, .doc, .odt or .rtf files up to 50 MB each. You can add several at once.

  2. Convert

Select Convert to PDF. Each file is sent to the private document processor and comes back as a PDF; progress is shown per file.

  3. Check the pages

Open the PDF and compare page breaks, tables and fonts with the original, especially if it uses a font other than Calibri, Cambria or Arial.

  4. Download or continue

Download one PDF or a ZIP of the batch, or pass the result to Compress PDF or OCR without uploading it again.

Use Cases

No Word on this device

Convert a .docx received by email on a phone, tablet or Chromebook without installing an office app.

Portal and job applications

Make a fixed PDF of a CV or form, then compress it if the portal sets a file-size limit.

Batches of documents

Convert a folder of letters or reports in one go and download them as a single ZIP.

Frequently Asked Questions

Is DOC to PDF different from DOCX to PDF?+

You use the same tool for both. In our test the same letter saved as .docx, .doc and .rtf produced the same one-page layout.

Why does my PDF use a different font?+

The converter uses LibreOffice, which does not have Microsoft’s fonts. Calibri and Cambria are replaced by look-alikes with identical widths, so the layout holds; other fonts may be replaced by a plain font. Use Word’s Save As PDF if the exact font matters.

Is my document uploaded?+

Yes. Word to PDF is one of the few MAXScanner tools that runs on a server, because a full office engine is too heavy for a phone browser. The file is sent only when you select Convert to PDF.

What is the maximum file size?+

50 MB per document. Very large files with many images can also hit the 150-second time limit; splitting the document or compressing its images in Word first helps.

Can I convert Word to PDF on my phone?+

Yes. Open this page in the phone’s browser, add the file from Files or Downloads and convert it. Nothing needs to be installed.

My Word file contains scanned pages. Will the text be searchable?+

No. Scanned pages stay images in the PDF. Run OCR on the result if you need to search or copy the text.
